Turn accepted proposals into Trello cards with one automated push.

What this integration does

Link Flivara to Trello and eliminate the gap between winning a deal and starting the work. When a proposal is accepted, a fully-populated Trello card lands in your chosen board column, ready for your team to action.

Step-by-step setup

    Authorize Trello access

    Go to Settings → Integrations → Trello in your Flivara dashboard and click "Connect Trello". Flivara will open Trello's OAuth consent screen. Grant the required read/write permissions — specifically access to Boards and Cards.

    You need a Trello account and access to at least one Trello Board to complete the setup.

    Choose your target board and list

    After connecting, select the Trello Board and the specific List (column) where new cards should appear. Common choices are "Signed — To Start" or "New Projects". You can override this per proposal if needed.

    Configure card contents

    Decide what Flivara data populates each Trello card: Card title (proposal name + client), Description (project scope summary), Checklist items (proposal line items), Due date (delivery milestone from proposal), Members (assigned team leads).

    Set up label mapping

    Map Flivara service categories to Trello label colors. For example: Design → Purple, Development → Blue, Strategy → Orange. Cards will be automatically tagged so your team can filter by work type at a glance.

    Enable the trigger

    Toggle the automation to "Active". Trello cards will now be created automatically whenever a proposal reaches "Accepted" status in Flivara. No additional steps required.

Use case examples

Agency sprint board

Scenario

A web agency uses Trello's Kanban board to manage all active client projects.

What happens

Every accepted proposal generates a Trello card in the "Incoming" column with the full scope checklist pre-populated. The project manager only needs to move the card to "In Progress" — all context is already there.

Freelancer client management

Scenario

A freelance copywriter accepts a content retainer proposal covering 8 articles per month.

What happens

A Trello card is created in the "Active Clients" board with 8 checklist items (one per article), the client brief attached as a link, and the monthly due date pre-set.

Multi-service agency routing

Scenario

A full-service agency has separate Trello boards per department (Creative, Dev, Ops).

What happens

Flivara routes each proposal to the correct department board based on the primary service category, automatically splitting multi-service proposals across relevant boards with cross-card links.

Troubleshooting

Cards are being created with no description.

Verify that your proposal has a scope summary in the Description field. Flivara pulls the first paragraph of the proposal's scope section. If the proposal uses only line-item tables without a text summary, add a brief description block — it will appear as the Trello card description.

Trello says the integration lost access.

Trello OAuth tokens can expire if the connected Trello account changes its password or revokes access. Go to Settings → Integrations → Trello and click "Reconnect" to re-authorize.

Cards appear in the wrong board.

Check the default board/list selection in Settings → Integrations → Trello → Configuration. If you recently archived the target list in Trello, Flivara will fall back to the first available list. Update the selection to match your current board structure.

Checklists are missing from newly created cards.

Trello Checklists require the "Checklist" power-up to be enabled on the target board. Open the board in Trello, click "Power-Ups", and enable the built-in Checklists feature. Re-test the sync.
