What this integration does

Connect Flivara to ClickUp and eliminate manual copy-paste between your proposal tool and your project management workspace. When a client accepts a proposal, tasks, assignees, and due dates are created in ClickUp instantly.

Step-by-step setup

  1. 1

    Connect your ClickUp workspace

    In your Flivara dashboard, navigate to Settings → Integrations and click "Connect ClickUp". You will be redirected to ClickUp's OAuth authorization screen. Grant Flivara the requested read/write permissions on your workspace.

    You must be a ClickUp workspace Admin or have the "Manage Integrations" permission to complete this step.

    Select the target ClickUp Space and List

    After authorizing, Flivara will load your ClickUp Spaces and Lists. Choose the default Space and List where new tasks should land when proposals are accepted. You can override this per proposal later.

    Map Flivara proposal fields to ClickUp task fields

    Use the Field Mapping panel to define how Flivara data maps to ClickUp: Proposal title → Task name, Client company → Custom field, Service line items → Subtasks, Proposal value → Custom numeric field, Accepted date → Start date, and Delivery date → Due date.

    Set automation triggers

    Choose which Flivara events trigger task creation in ClickUp. Recommended: "Proposal Accepted" (fires when client e-signs). Optional: "Proposal Sent" (fires when you share the proposal link) for early pipeline visibility.

    Run a test sync

    Open any draft proposal and click "Test ClickUp Sync" in the proposal toolbar. Flivara will create a test task in ClickUp with a [TEST] prefix so you can verify the mapping without affecting live data. Delete the test task from ClickUp once confirmed.

    Go live

    Toggle the integration status to "Active". From this point, every accepted proposal automatically pushes a fully-structured task to ClickUp — no manual action required.

Use case examples

New client onboarding

Scenario

A client accepts a 12-week brand-identity proposal covering strategy, design, and development phases.

What happens

Flivara creates three ClickUp tasks (one per phase), assigns the correct team members, sets milestone due dates, and tags the task with the client company name — all in under 5 seconds.

Retainer kickoff

Scenario

Monthly retainer proposal is signed for social media management across three platforms.

What happens

A recurring ClickUp task is created with the monthly cadence pre-configured and platform-specific subtasks already named and assigned to your social media team.

Upsell project scoping

Scenario

An existing client approves a change-order proposal for an additional feature sprint.

What happens

The new scope appears as a linked subtask under the existing client project in ClickUp, keeping all work for that client consolidated in one place.

Troubleshooting

Tasks are not being created after a proposal is accepted.

Check that the integration status is "Active" in Settings → Integrations. Also verify the ClickUp OAuth token has not expired — re-authorize if needed. Finally, confirm the selected ClickUp List still exists and the connected account has write access.

Field mapping is not saving correctly.

Ensure all required fields (Task name at minimum) are mapped before saving. Custom field mappings require that the target ClickUp custom field already exists in the selected List. Create the field in ClickUp first, then reload the mapping panel in Flivara.

I disconnected and reconnected ClickUp but old tasks are duplicated.

Reconnecting creates a fresh sync session. Flivara does not retroactively re-sync past proposals — only new events trigger task creation. The duplicates are from before the disconnection. You can safely archive them in ClickUp.

ClickUp subtasks are not appearing for multi-line proposals.

Subtask creation requires the "Create Subtasks" permission in your ClickUp workspace plan. Check that your ClickUp plan includes subtasks and that the connected account's role allows creating them in the target List.
